Announcements

  • Members were asked to share reflections on what they are doing personally or professionally.
  • The library in-service has been approved by Dr. Jerome Drain.
  • NE Libraries received an award from Student Activities for their help to students and being open in-person during 2021-2022. Per Mick, Bottled water for the library in-service and for all events must be purchased through Canteen, the HCC approved vendor, via a requisition. Small snacks should also be purchased through them.

LTA Certificates

  • For employees who reached at least the minimum of 12-credit hours with at least 6-hrs from LTA Training Calendar
  • e-Certificates of Completion to be sent via email
  • e-Certificates to be sent to all PT employees who attended LTA trainings

Fall Semester In-Service

1.Confirmed for Thursday, August 4, 2022, 8:30 AM - 12:45 PM.

2.Library Council has chosen the District Office (3100 Main) as the location. Seminar rooms A, B &C. Seating needed for 50-60 people.

3.Raquel will research food options.

4.Mick will send out a save the date email.

5.Presentations will cover:

  • a. HCC Police Dept.
  • b. Maxient
  • c. Retirement info and Medicare
  • d. Services and resources for students
  • e. Library updates from Mick
  • f. Mental health awareness
  • g. Making book displays + Tabletop displays from various libraries on successful events Presenters are needed—Library Directors will be contacted.
  • h. DEI (Diversity, Equity, Inclusion) and Belonging

6. Food allocation: $1,000 -$2,000 for box lunches. Inquiries will be made to Canteen regarding snacks, coffee, and tea as well.

7. Keitha outlined speakers, their topics and time slots, and assigned rooms.

8. A floor plan of the seminar area was shown.

Further planning documents will be posted in the LTA One Drive folder.

Next meeting: Thursday, July 21, 2022 from 10:15 to 12-noon, in-person at 3100 Main. The committee will view the meeting location for the 8/4 in-service.

Discussions

Training sessions for 2021-2022 LTA Calendar Keitha reported:

  • 32 Sessions held, 27 of them were live, 3 were face-to-face, 2 archived webinars
  • A total of 43.5 hours of training held
  • 340 persons attended
  • A document containing the breakdown of the sessions, registration and attendance was emailed to library staff on 5/18/22. The document will also be posted on the LTA channel on Teams.
  • Mick emailed the master list of training attendance to library directors on 5/16.

Fall semester In-Service

  • Keitha will post a list of planning considerations in the LTA folder on One Drive. Highlights:
  • Central and Codwell are considered for the location. Lea will check with Erica and the Central campus manager regarding Central. Gwen will check with Codwell campus manager.
  • Three breakout rooms will be requested as well.
  • Thursday, August 4, or Wednesday, August 3, in that order are the choices for dates.
  • Time will be 8:30 – 12:30, with a box lunch included.
  • Full-time staff to attend. Part-time staff to maintain the libraries.

Discussions

Training Sessions:

  • Since the last meeting (3/10), 7 sessions were held to date, with 152 registrations and 109 attendees.
  • Sierra training had excellent attendance with 46 registrations with 45 attendees on 3/25, and 16 registrations with 11 attendees on 3/26.
  • Canvas training, conducted by Dr. Brenda Quintanilla and Norma Alfaro, on 3/28 had 29 registrations with 25 attendees, and on the evening of 3/30, there were 14 registrations with 10 attendees.
  • Trainings were held 4/20 and 4/27, with 30 registrations and 16 attendees total.
  • Building of the calendar for 2021-2022 concludes April 29.

LTA Calendar

  • DEI (Diversity, Equity and Inclusion) in LTA.
  • The committee is very diverse in gender, age, race, culture, education and position within HCC. All members are respected, appreciated, and may suggest programs.
  • Keitha recommended HCC’s DEI Professional Development Training and Certificate Program Series. A session is being offered May 16. She attended the April 22 session. It was stated there that the letter B should be added to DEI to represent Belonging.
  • Other

  • Part-time and non-exempt staff should not view training on their own time due to Time and Labor considerations.
  • Justine offered an in-person resume workshop at NE. Attendance was disappointing, presumably due to health concerns of meeting in public.

Fall semester In-Service

  • A proposed staff in-service should be planned for the first week in August. The in-service may be a face to face or online event. It could be half a day or a full day.
  • Maxient training and a session by HCC Police Chief Benford would be a part of this.
  • Members are asked to explore ideas for topics and presenters.
  • A suggestion was made to survey staff about their ideas.
  • Presenters should be notified that the in-service could be in-person or online or could change formats based on requirements.
  • If closing libraries is suggested, Mick would have to know by early June.
  • Gwen is asked to bring the subject of an in-service before Library Council.
  • Planning will start at LTA’s May meeting.

  • Spring break will be March 14-20, 2022.
  • Justine is planning a resume writing, Linked-In, career workshop for students on March 30. Lauren Berger from Intern-Queen will also share tips via Zoom.com.

Discussions

Training Sessions:

  • Six sessions were held after the 2/17 meeting. Of those 61 people had registered but only 31 attended.
  • One session held in March to date, 10 registered and 5 attended.
  • Three training classes are planned for the remainder of March.

LTA Calendar

  • Sierra skills refresher, to be taught by Angela Secrest, Friday, 5/25 and Saturday, 5/26. Keitha will ask Angela if the Sierra training may be recorded.
  • Tiffney reported that she has planned an LTA session for teaching library staff how to help students with Canvas. This is very much needed and appreciated. Norma Alfaro, from NE’s Center for Learning Innovation, will teach the class on March 28.
  • Tiffney shared results of a staff survey she did regarding Canvas learning needs.
  • Debbie will look into ways for staff to share their book displays and for someone who can provide tips on creating them.
  • Keitha reported the importance for library staff to get training on when to fill out a Maxient report. Students often talk to staff about personal issues, which then makes the staff member liable for reporting.
  • Gwen will ask Mick if it is acceptable for PT staff to attend a training on their own time, without an expectation of pay.
  • Keitha showed where LTA training recordings are posted in Teams>Grp Libraries>LTA Channel>3 more>Webinar Videos.

  • Four were held in December, seven in January, four in February to date.
  • Full-time librarians who have not completed Canvas certification have been notified to do so.

    • Mick emailed (12/9/21) a spreadsheet of service desk questions. The committee should review those with a focus on addressing unmet needs and make recommendations for training.
    • Justine will take over some of the chair duties while Keitha is on medical leave, 12/13/21-1/9/22.
    • Keitha, Mira Washington, and Angela Secrest will present at TCCTA in March 2022 in Frisco, TX.

    Discussions

    • Reporting training hours—Sessions lasting partial-hour increments should be rounded up to the next half-hour.
    • LTA has a folder in One Drive. Keitha demonstrated access, pointing out the 2021-22 training calendar. This should be reviewed when determining a date to schedule sessions. Each training should run between 30 minutes to two hours. For each session planned, the date, learning outcomes, delivery method, location, and target audience should be stated on the calendar form. Keitha will ask for someone from HCC to present a training on how to handle community members who use HCC libraries. HCC compliance training is not included in the 12 hours of professional development required by the library. Staff must have at least 6 hours of LTA training and 6 hours from other opportunities. Unmet needs: Purchasing Texas Instruments graphing calculators to place on reserve at each library. The request comes up frequently on chat. Gwen is asked to submit discussion to Library Council regarding purchase. Next meeting: Thursday, January 20, 2022 from 10:15 to 12 noon on Teams.

    • Mick Stafford—All groups will continue to meet virtually until covid health threat level is yellow.
    • Keitha will be on FMLA 12/13/21-1/9/22. Justine will take over chair duties during that time.
    • New format for recording minutes to match those of other official committees.

    Discussions

    • Keitha will send an email regarding rounding of partial hours of classes.
    • Minutes will be posted on the library website under For Librarians.
    • Training sessions completed to date:
      • 11/9 Making the shift from physical to electronic resources quickly and affordably. Eleven attendees.
      • 11/16 Uncovering and promoting diverse women’s voices of the past. Six attendees
      • 11/18 Internal interviews: what you may not know. To be held later today.
    • Registrations: Ways we can boost registration for sessions. If you have ideas, send an email to all LTA members.
    • Identify Programs—Think of sessions that can be added for January – June, 2022. If you know of departments and services that library staff should have a better understanding of how they work, send an email to LTA members. Vendor program ideas and other topics that are useful.
    • Tiffney suggested offering an informational session for HCC staff on benefits related to attending or returning to college and one on helping students enroll. She will research both.
    • Deborah will research a training on how to help students take advantage of resources of other local libraries, such as hotspot availability.

    He advised the committee to stay the course. No formal charge given. He suggested the committee meet face-to-face periodically, with a way to record those meetings.

    Research a way to capture how LTA is used to improve performances of staff. Could do a survey.

    Questions from Keitha to Mick

    May part-time staff be allowed to present as trainers? Mick will consider on a case by case basis.
    Are 12 hours still the minimum number required for a certificate? Yes.
